Template Best Practices

Follow these best practices for effective template management.

Naming Conventions

Use clear, descriptive names:

✅ Good:

  • "ABC Monthly Price Update"
  • "XYZ Catalog 2025"
  • "DEF Promotional Items"

❌ Bad:

  • "Template 1"
  • "Test"
  • "abc"

Template Strategy

One Template Per Format

If a supplier sends files in different formats, create separate templates:

  • "ABC Standard Format"
  • "ABC Extended Format (with stock)"

Keep Templates Updated

Review and update templates when:

  • Supplier changes file format
  • You discover better mapping strategies
  • New fields become available

Documentation

Use the Description field to document:

  • When to use this template
  • Special considerations
  • Date of last update

Example:

Monthly price updates from ABC.
Updated: Jan 2025
Note: Does not include stock levels

Testing Templates

After creating or updating a template:

  1. Upload a test file
  2. Apply the template
  3. Review a few products
  4. Verify prices and calculations are correct

Managing Multiple Templates

If you have many templates:

Use Consistent Naming

Start with supplier code:

  • "ABC - Monthly Prices"
  • "ABC - Stock Levels"
  • "XYZ - Catalog"

Archive Unused Templates

Delete templates that are no longer used.

Free Plan Limitation

With only 1 template per supplier on the Free plan:

  • Make it your most frequently used format
  • Map other formats manually when needed
